Time management is very necessary in everybody life. It is assumed that those who have mastered this science are the master of their time. They themselves plan the working day, week, month. They themselves determine which tasks are a priority and which can wait. And most importantly, he knows how to accomplish more in the same unit of time. Once you learn to manage time, you will habitually transfer these skills to life in general. This means that it will be more meaningful and fulfilling.

We get tired and exhausted not because we work hard, but because we work poorly, we work unorganized, we work stupidly. You’ve probably noticed more than once: when the day is not planned, when clear tasks are not set, we hang around like some kind of substance in an ice hole, jump from one thing to another, get distracted. As a result, in the evening, summing up the results, we summarize with bitterness. Nothing useful was done during the day, some kind of vanity and decay.

*We have a hypothetical schoolboy who comes home and does his homework. One can stretch out the process of doing homework for 5 hours, constantly being distracted by toys, the other will get together and complete everything in an hour – and then long-awaited freedom. Which one is the best time manager?

**The boys grew up and became businessmen. Both have several businesses, dozens of employees, and constant tasks that must be solved during working hours. One of them procrastinates out of habit, mixes work with personal, or tries to solve everything at once. In the end, he doesn’t manage to do anything and is busy with current tasks. And in the long term, he will face professional burnout, because he cannot work at the limit of his capabilities all the time. The second one put everything on stream and can now work several hours a day – and the quality of the business will not suffer from this.

Why do we need time management?

  • to live a full life, to find time not only for work, but also for rest.
  • to effectively allocate time for personal and work, useful and for recreation, solving important problems and not so important.
  • to learn to separate the wheat from the chaff – important tasks from unimportant ones;
  • to comprehend your goals and life actions in general.

Basic principles of time management

1. Make to do lists – Be sure to record everything you have planned – as it is more convenient for you. At least on paper, in a mobile application or in a diary. Even better – indicate the time during which the task will be completed. For example – at 9.00 (planning meeting with employees), 10.00 (meeting with the supplier), 11.00 (meeting with a marketer) and so on. This will give you a clear plan and instructions on how and when to get everything done. And when you write it down, your brain remembers the information better. This way you definitely won’t forget anything!

2. Divide large tasks into small ones – It’s easier this way even psychologically. Major tasks hang over us like the sword of Damocles, we’re scared to start and we’re tempted to put them off until later! When a large task is divided into several small ones, it is no longer so scary. Perform each one systematically and see how quickly you achieve results.

3. Set priorities every day – Identify the most important thing and throw all your resources and capabilities at it. Do it first or return to it throughout the day, as long as the task is completed. In between, complete less important tasks – you shouldn’t forget about them either.

4. Don’t get distracted – Set yourself certain hours for productive work, during which you are prohibited from being distracted. Don’t be distracted by calls, letters, or communication in instant messengers – they eat up several hours of your personal time. It is better to set aside half an hour in the morning, lunch and evening to check all messages and chat, and not go beyond this limit.

5. Set your goals correctly – This is necessary so that there is no excruciating pain for wasted time. Any goal must be specific, relevant, achievable in a real period of time (and not sometime later), measurable.

6. Set the bar high – Schedule a little more tasks than you can complete. Set deadlines a little earlier than planned. For example, launch sales of a new collection in a month, not in a month and a half. If it doesn’t work out, you can always win back, but more likely you will recklessly try to get everything done on time.

7. Leave extra time – Either the supplier fails, the employee messes up or anything can happen. Don’t plan to complete tasks, especially large ones, in the shortest possible time – give yourself a head start.

8. Do routine – Don’t forget about the main thing. Even if you are currently working on everyday tasks. Choosing a new product range, hiring a new employee – always remember why you are doing this. Think about the company’s mission – does a specific current task meet the main goal? If not, the goal needs to be adjusted.

9. Delegate authority – Even if you think you know everything best, don’t rush to take on other employees’ responsibilities. Your task as a manager is not to answer calls, not to take photographs of new products for cards, and not to deliver orders instead of a courier. You can safely give the entire turnover to your subordinates.  You yourself can do planning, developing long-term strategies, scaling your business and other pleasant things. That’s why you hired employees and deputies, to load them with work responsibilities and relieve your loved one to solve global problems.

10. Learn to say “no” – Things that are not in your heart, impractical, unprofitable things are the real killers of a manager’s time and the profit of any business. All you need to do is learn to say “no” and refuse unprofitable offers!

11. Allow yourself to rest – A boss who is squeezed like lemon is a thunderstorm for his subordinates and a time bomb for himself. Thinking about work night and day, rushing to the office on a legal day off, neglecting your personal life – all this sounds heroic, but it will not lead to good. It’s still impossible to do everything in time, at least several times a week. This way you will reboot your brain, recover and work much more efficiently. Isn’t this what you want?

12. Live according to your biorhythms – Throughout our childhood and adolescence, we were artificially made into early risers. Remember getting up for school and college at eight in the morning! Now you are the owner of your own business and can allow yourself to live in harmony with your body. What’s the point, if you are a night owl, getting up at 7.00 and walking around until lunch like a boiled fly – in this state you will still be unproductive. It is much healthier to get enough sleep and start work at 12 noon – and then live according to your own schedule. If you are comfortable working at 1 am, work at 1 am.

And finally, five fly in the ointment given below:-

*Don’t think that knowing time management will make you a superman. Not at all – let’s debunk the main myths so that life doesn’t seem like honey. Better the truth than a sweet lie!

**You can’t manage time. It never stops, and you can’t do anything about it. You can only control yourself by killing attempts at procrastination, planning your day and making clear plans.

***You won’t have to work anymore and relax in the same units of time. That’s the advantage of time management. You will increase your personal effectiveness and productivity.

****Time management is a panacea for all ills. Well, I do not. If you initially set incorrect goals and make spontaneous, foolish decisions, no amount of time management will save you.

*****Everything will immediately go like clockwork. Once you start implementing the rules of time management, it’s like taking a magic pill. Quite the opposite: at first it will be hard, because in essence, you will be breaking your usual way of life and developing new skills. The main thing is not to break down in the first week. It will be easier later, check!
